EVENT CHECKLIST

This guide was created to help you navigate some of the initial stages of LAN Party planning. Here’s an overview in checklist form to get your party started:

Event Name
Number of players?
Event Date
Event Times
Location
Will you rent or use existing space?
Rental space cost (don’t forget items like tables, chairs and mics for rental units)
Does your space match your # of guests?
Does venue have AC/heating?
Washroom facilities?
Power?
Sleeping area?
Kitchen?
Is noise an issue at this venue?
Is security necessary?
Is the venue easily accessible?
Venue address
Venue contact info:
Costs
Will you have an entrance charge?
What will you offer guests?
Have you contacted potential sponsors?
Do you have ALL quotes in writing?
Are you allowing a contingency?
Invitation
A complete invitation will include the following:

  • Time and date (include expected end time as well)
  • Age restrictions (will you have any?)
  • Alcohol (can people bring their own? will it be offered?)
  • Sound (don’t assume everyone will bring headphones. If you can’t support an event with speakers, make sure people know!)
  • Tournament Maps (where can people get them)
  • Entrance Fee (what’s the cost?)
  • Food and Beverage plans (are you supplying? Don’t overlook the veggie fans out there)
  • Games to be played (pretty key)

Event Pack

A complete event pack should include the following:

  • A greeting (it’s your event; introduce the hosts and take an early bow)
  • A list of ground rules (these should reinforce information from your invite, such as no speakers if applicable)
  • Instructions (how to get on the network, find game servers and downloads)
  • Event schedule
  • Tournament rules
  • A list of downloads to grab
